We are recruiting on behalf of a private investment office for a split role of operations manager and executive assistant to the two partners. This is a seven month contract beginning September 2020 to cover a maternity leave which has the potential to become a permanent position. The partners’ main business revolves around the art world and so an interest and some knowledge of art would be beneficial. This young and vibrant company is located in the West End of London.
The operations role will entail the management of invoicing and payments between related companies, liaising with lawyers, accountants and bankers, monitoring of investments, inventory control, handling of KYC and AML requests, taking minutes of meetings, maintaining the CRM database, liaising with clients, researching topics as directed, organisation of documents & presentations, and general administrative tasks.
The Executive Assistant role will involve logging and categorising shareholder expenditure, liaising with accountants regarding personal tax returns of the partners, making payments as instructed, monitoring and reporting of private investment portfolios, and tracking days spent in the UK by the principals for statutory offshore claims.
The successful candidate will hold a university degree and ideally an MBA or relevant professional qualifications, have a broad understanding of personal and corporate tax issues, have excellent attention to detail and very strong organisational skills. They will also need to be highly numerate and have excellent writing skills, and be proficient with MS Word, Excel and Adobe with experience of InDesign being desirable. Personal qualities sought are reliability, efficiency, independence and being highly discreet, and the ability to take your own initiative where warranted. A strong sense of integrity and diplomacy are required.
A four week office based handover period is envisaged, after which the role may allow flexibility for some home working at the company’s discretion.
