Team Lead – Document Control 18 views

We’re seeking a Document Control Team Lead to join our Information Management team in Aberdeen on a staff employee basis.

Reporting to the Information Management Team Lead, your primary responsibility will be to oversee and execute Document Control process and procedure, as provided by the Document Control Services Team.

You will enable the highest standard of Document Management services provision to the Business supporting all DCS related activities and queries and should be a passionate, experienced, Document Management professional looking to further develop the next stage of their career.

Working closely with the business, an inquisitive approach will help you understand and prioritize business activities and projects in order to deliver the greatest Document Control impact.

Proactively working to identify and implement process efficiencies and standards, you will provide cost effective Document Control solutions across various departments including our Production Operations, HSE&A, Technical Services, Exploration and Developments teams.

You will be our focal point for providing advice and coaching on good document management practices and the efficient use of document management systems, working collaboratively with your peers to identify and realize increased value through new techniques and cross discipline sharing, and be responsible for supervising a cross locational team of Uxbridge and Aberdeen Document Controllers

Other responsibilities will include appropriate vendor and third-party contractor management ensuring that our 3rd party EPC service provider is appropriately supporting UK Business and Asset priorities.

You will also be accountable overall for all Document Control activities including:

  • Issue and receipt of electronic and hard copy documentation to and from relevant parties (internally and externally)
  • Assistance with Close-out activities
  • Maintenance of registers as per Company procedure
  • Maintenance of Company RLMU’s, As-Building, Master Documentation & Controlled Copy Sets
  • Provision of Document Control / AssaiWEB training and assistance to the business as and when required
  • Weekly and Monthly Document Status Reporting for Areas of Responsibility
  • Being the Gatekeeper for IM Services, liaising with other Information Management teams as required
  • Who are we looking for?

    Qualified to a minimum of Standard Grade Education or equivalent. Higher / Tertiary qualifications are also desirable. Successful candidates will have a solutions-focused, can-do approach to their work activities along with a logical, process and service driven approach to supporting the business.

    You should also have strong leadership experience in line with the companies Cultural Beliefs, and a high degree of adaptability and Change Management experience, along with great communication and teamworking abilities.

    You will have a track record of senior Document Management experience ideally from an oil and gas operator background. We are particularly interested in you if you have the following skills and knowledge:

  • Document Control Assai and Livelink Systems experience beneficial but not mandatory
  • Knowledge of Document Control methodologies and Best Practice
  • Hardcopy and electronic Document Management Systems and associated processes management
  • Ability to provide systems training to Business Users as and when required
  • Strong Document Management background in the upstream Oil and Gas industry
  • Excellent knowledge and understanding of traditional Document Management practices within Technical and Business environments
  • An appreciation of Oil & Gas industry terminology
  • Proficient in using Document Management tools
  • Familiar with Business Management Systems
